Fees, Payments and Cancellation Policy

Registration Fees and Meal Package

As part of your registration you will be charged via this website the following fees:

  1. Registration fee for National/Delegate is $500 CDN.

  2. Registration fee for Finlandia Prize Candidate is $200 CDN.

  3. Registration fee for each accompanying person is $200 CDN. 

  4. Registration fee for each accompanying minor (17 years and younger) is $100 CDN.

  5. Meal Package (taxes included) for single occupancy is $1,050 CDN/double occupancy is $2,100 CDN.

  6. Meal Package (taxes included) for children 6-17 year old, $510 CDN per child and no charge for children <6 years old.

 

Hotel

Hotel Charges are to be paid directly to Hotel as follows (please indicate AIVS CONFERENCE 2020 to obtain conference rates pricing):

  1. Basic Single or Double Occupacy for a 7 night stay is starting at $2,428 CDN (taxes included)

  2. Should you wish to upgrade your hotel room additional costs per day will apply

Not included: 

  1. Car Parking $25 per day

  2. Ground Transport Vancouver to/from Whistler

  3. Upgrade to Premium internet $25 per day (Basic internet is at no charge)

Ski Passess

Ski passes are obtainable through direct booking at Whistler Blackcomb and paid directly to the provider. 

Ski Rentals

​Ski Rentals can be booked directly with Spicy Ski Rental at a discounted rate and paid directly to the provider.  Discount is available by quoting "AIVS 2020".

 

Payment for Registration and Meal Package

Payment method: Bank Transfer for non-residents of Canada 

E-transfer for Canadian residents, however you may wish to pay via Bank Transfer if so desired.

Payments by cheques are not accepted

All payments are to be made in Canadian dollars ($CDN).  Please indicate your name on the payment.

Registration Email

Upon completion of registration each participant will receive confirmation of registration via email.  

Bank Transfer/ E-Transfer Payment

Please ensure to indicate your name in order to identify your registration payment.  Please be advised bank transfer fees/ charges will be paid by the delegate.  Once payment is received you willl receive a payment confirmation email, this confirmation email will act as a contract and once issued, the payment and cancellation conditions will apply.

The payment confirmation email is an official document and certifies registration is complete.  Please have this email available on site in order to recieve your registration documents.

Modifications/Cancellations

  • any questions or requests for revisions or cancellations to room reservations should be addressed to the conference assistant (Mrs. Linda Vucemilo) in writing (email) no less than 30 days prior to your arrival date or you may contact the hotel directly.

  • no refunds for reservation changes of the arrival/departure date that reduce the number of nights stayed

  • no refunds for no shows

  • no refunds for early check out

  • no refunds issued due to bad weather

Package Cancellation Conditions

  • more than 60 days before arrival 50% fee is non-refundable

  • 60-14 days before arrival 80% of fee is non-refundable

  • 13-3 days before arrival 90% of fee is non-refundable

  • 2 days - no show- 100% fee is not refundable
